Vital Managed Print Services for 2012
Summary: It’s going to be an interesting year for MPS, Doc thinks, what with all the various big-name players (and a few not-so-well-known ones) vying for position in the industry.
Doc’s been covering MPS for a while now, and it’s hard to believe we’ve recently started another new year – time sure does fly by these days. So what are some of the most vital Managed Print Services to consider in 2012? Here’s a few courtesy of writer Bob Jones:
- Print audits - for companies wanting to get better control over the printing done across each department, print audits are an essential tool. These provide comprehensive reports on every print device in your company, from printers to fax machines, copiers and two in one machines. Reports can be set for individuals as well as departments, or the greater company as a whole. Set up can be done by your managed print services provider, and from there it is easy to begin audits and set up reports to analyse printing done in your company. Fax and phone audits can also be considered for those who wish to increase their accountability for more sustainable operations.
- Print drivers - this software offers a centrally managed tool that will allow you full control over your print fleet. Print drivers are excellent for larger companies, or even smaller companies who want to reduce waste and costs while identifying potential problem areas across the print fleet. This will ensure better use of resources, while also improving printing strategies within the office to cut down on wasted time and wasted costs.
- Green printing - if you want to start 2012 on a greener note, green printing strategies are an excellent way to do so. Your managed print services provider will work with your team to educate them on sustainable print practices. From there, you can begin implementing eco-friendly steps such as digital filing, grayscale printing and other tactics that help to reduce the volume of wasted paper and ink produced each day.
- Hardware and software - updating your print fleet and related devices such as fax machines and copiers is the best way to ensure a greater level of productivity. Like any other technology, your print equipment needs to be updated with new software or hardware that enables better performance. Your MPS provider will be able to procure software and hardware at discounted reseller rates, ensuring that your systems are up to date in time for the new business year ahead.
It’s going to be an interesting year for MPS, Doc thinks, what with all the various big-name players (and a few not-so-well-known ones) vying for position in the industry. Seems like the basics above are a good starting point for those considering an MPS program. Now the next big question is, who will you be partnering with, or will you try this on your own?

Doc
ZDNet introduces Doc (The DocuMentor), sponsored by RICOH. Through his blog, Doc will educate you about Document Management. So who is Doc? Doc is something of an enigma. He was born to a Russian ballerina and a German electrical engineer who some believe was running covert operations for shadowy corporate interests. Doc grew up in various locations in the United States, although no one seems to know precisely where, least of all Doc. His early schooling was unremarkable except for the time he was caught trying to replace all the mimeograph machines with high-tech color copiers that had mysteriously disappeared from a shipment to Albania. At MIT, he made a name for himself by transforming a large printer into a robot that hunts and eats Roombas. Professionally, he reportedly has seen the insides of more brands, versions, and generations of printer and printer-related hardware than almost anyone. Some say his obsession with paper, printing, and mechanical movement was either started by, or evidenced by, a traumatic childhood episode when he crawled inside an old Xerox 2400 and tried to print himself.
Anyway, Doc has hands on experience with stuff like printer maintenance and fleet management, but his mastery of document management leaves no stone unturned. Important issues like sustainability, security, and regulatory compliance are top of mind for Doc, as are other business technology needs like networking and IT services, making him a true blue IT renaissance man.
The discussion hasn’t started yet. Why don’t you begin it?
